Job Overview

A law firm seeks a full-time Legal Secretary to join its Orange County office in Irvine, CA. This role involves a hybrid work arrangement, with two days on-site and three days remote weekly, subject to change based on business needs.

Duties

  • Provide secretarial and administrative support to Partners and Associates.
  • Offer backup support during absences of other secretaries.
  • Draft, proofread, and revise documents including pleadings and correspondence.
  • File documents with courts and administrative bodies, including electronic filing.
  • Assist in preparation for meetings, depositions, hearings, and trials.
  • Manage incoming mail and route to appropriate parties.
  • Maintain electronic case and administrative files.
  • Track attorneys' calendars for meetings and court dates.
  • Enter attorney's time and coordinate billing processes.
  • Create and track New Client Matter Memos.
  • Prepare check requests and coordinate vendor payments.
  • Assist with travel arrangements and expense reimbursements.
  • Work overtime as needed.

Requirements

  • High school diploma required; Bachelor's degree preferred.
  • 7-10 years of legal secretary experience, preferably with senior attorneys.
  • Strong customer service skills.
  • Clear written and verbal communication skills.
  • Excellent organizational skills and ability to multitask.
  • Ability to work independently and collaboratively.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Experience with electronic document management and calendaring programs preferred.

Education

  • High school diploma required; Bachelor's degree preferred.

Certifications

  • No specific certifications required.

Skills

  • Proficiency in Microsoft Office Suite and Adobe Acrobat.
  • Experience with NetDocuments, Best Authority, CompuLaw/ProLaw, and Aderant preferred.
