Richmond office of our client seeks counsel with preferably 2-3 years of experience. The candidate will be responsible for overseeing the process to review claims submitted on behalf of claimants who are deceased, incapacitated or minors. Will give work direction to Special Counsel, Analysts, Claims Reviewers, and Legally Trained Reviewers. Has close coordination with the Trustee, Special Master, and Claims Administrator. Coordinate with BrownGreer employees as well as the Trustee and Claims Administrator to establish procedures and define documentation requirements for claims submitted on behalf of claimants who are deceased, incapacitated or minors. Establish and oversee the process for submitting minors compromises to a Special Master appointed by the Superior Court of California for the County of San Francisco. Perform legal research and determine applicable state law requirements for representative authority and/or court approval of settlements for minors and incapacitated claimants. Generally restricted to California state law; however, analysis of other states law may be relevant on a case-by-case basis. Develop the procedures for completeness review criteria for all documents submitted to establish a representatives authority to submit a claim on behalf of a claimant who is deceased, incapacitated or a minor. Determine necessary database fields and functionality, draft related business rules, and coordinate with programmers to develop and test those database features. Assist in the development of required forms for procedures allowing short form processes in lieu of court-appointment of a representative (declarations, affidavits, petitions or other short form templates). Draft FAQs and Notice language to explain Trust requirements generally as well as claimant-specific documentation deficiencies. Provide guidance on legal documents sufficient to prove representative authority (probate orders, letters testamentary, letters of administration, and guardianship orders). Individually manage multiple projects simultaneously. Identify quality control solutions for the claimant information database through reports and manual checks. Coordinate with programming teams to maintain and improve existing databases, develop new functionalities, and develop concise reports. Communicate orally and in writing both internally and with outside counsel on all issues related to the claimant information databases, or as assigned. Prepare project work plans and procedures and develop strategies for problem solving. Understand and be aware of all on-going issues. Determine and report required staffing levels and time required for project completion by identifying and assigning appropriate supervisors and teams to projects based on individual skill sets and existing project load. Train and provide oversight to team members reviewing documentation for completeness and legal sufficiency. Coordinate and supervise efforts and work flow of Analysts, Claims Reviewers, and Legally Trained Reviewers. Prepare individual performance reviews and developmental plans and provide feedback. Maintain a safe and healthy work environment by enforcing organization standards and all applicable policies and procedures as outlined in the Employee Handbook, while adhering to legal regulations. Must preferably have 1+ year of probate and estate planning and/or trust administration experience. Bar License are required. Virginia or California license preferred. Should have proficiency with MS-Office products (especially Word and Excel). Advanced experience using Excel is preferred; general familiarity with databases is essential.

The candidate should have a Juris Doctorate degree. Must have flexibility to respond to and manage different tasks, often with competing priorities, and willingness to accept new task assignments and to think outside the box and solve problems. Should identify and resolve problems in a timely manner. Well-developed front-line leadership skills are required. Excellent verbal and written communication skills including ability to articulate instructions and solutions to less senior team members and to communicate effectively and professionally with Local Counsel and others outside of the firm. Must demonstrate confidence and comfort asking questions and communicating data inaccuracies. Capacity for performing tasks requiring high levels of analytical ability and attention to detail is essential. Will work independently and exercise sound judgment, when necessary. Ability to work under pressure and cope with multiple, competing priorities in a fast-paced environment needed.
